Appointment Reminder Email Examples for Salons (Copy, Paste, Send)

A good reminder email is short, warm, and clear. It tells the client what they booked, when it is, where to go, and how to confirm or move it. Nothing more. Copy the examples below, swap in your own details, and send them.

What every reminder email needs

Every reminder email needs the same six things, and nothing more. The business name, so the client knows who it is from. The service, so the client knows what they booked. The date and the time, in full, so there is no guessing. The address, or a short note on where to go, for new clients especially. And how to confirm or move the appointment, in one clear line. If any of those six is missing, the client has to search for it, and a client who has to search may give up and simply not come.

Keep the tone warm and plain. A reminder is not a demand, and it is not a contract. It is a friendly note from a business the client already chose. Use the client's name, keep the email to a few short lines, and make the next step obvious. If the client needs to arrive early, say so in one line. If the client needs to bring anything, say so in one line. If there is a cancellation policy, keep it to one short line, and only if the client has not already seen it when they booked.

Send a confirmation at booking, a reminder 24 to 48 hours before, and a short same-day nudge for long services. That is the pattern behind the four examples below. Each one is a full email you can copy, paste, and send, with your own details in place of the brackets.

Example 1: Confirmation at booking

Send this straight after the client books, so the date, time, and service are in writing right away.

Subject: Your booking is confirmed, Sarah Hi Sarah, Thank you for booking with Rosewood Salon. You are booked for a cut and colour with Emma on Friday, 14 November at 10:30am. The salon is at 12 High Street. Please arrive a few minutes early if you can. If you need to move or cancel, please reply to this email or call us on 01234 567890. We ask for at least 24 hours notice where possible. We look forward to seeing you. Rosewood Salon

Example 2: Reminder 48 hours before

Send this 48 hours before the appointment. It is early enough for the client to move the booking if plans have changed, and late enough that the appointment feels real and near.

Subject: Reminder: your appointment on Friday at 10:30am Hi Sarah, Just a quick reminder about your appointment at Rosewood Salon. You are booked for a cut and colour with Emma on Friday, 14 November at 10:30am. The salon is at 12 High Street. Please arrive a few minutes early if you can. Please reply to this email to confirm, or let us know if you need to move it. We ask for at least 24 hours notice where possible. We look forward to seeing you. Rosewood Salon

Example 3: Same-day nudge for long services

Send this on the morning of a long service, like colour, extensions, or a bridal trial. A missed long booking costs more than a missed short one, so a same-day nudge is worth it here.

Subject: See you today at 10:30am Hi Sarah, We are looking forward to seeing you today for your cut and colour with Emma at 10:30am. The salon is at 12 High Street. Please arrive a few minutes early if you can, and allow around two hours for your appointment. If anything has changed and you cannot make it, please reply to this email or call us on 01234 567890 as soon as you can, so we can offer the time to someone else. See you soon. Rosewood Salon

Example 4: We missed you, and rebook

Send this the day after a missed appointment. Keep it warm, not accusing. The goal is to bring the client back, not to win an argument about why they did not come.

Subject: We missed you yesterday Hi Sarah, We missed you yesterday for your cut and colour with Emma at 10:30am. We hope everything is all right. If you would like to rebook, please reply to this email or call us on 01234 567890, and we will find a time that suits you. Just a quick note: we ask for at least 24 hours notice to move or cancel, where possible, so we can offer the time to another client. We hope to see you soon. Rosewood Salon

Email vs text: an honest trade-off

Text is read faster. That is the honest starting point, and it is why most reminder tools lead with text messages. A text lands on a phone screen within minutes, while an email can sit unread in an inbox. If speed of reading is the only thing that matters, text wins.

Email wins on cost and simplicity. Email costs nothing per message, and on ShowUp there is no per-message charge at all. Text messages cost money per message, on top of a monthly fee, and the bill grows with every appointment you book. For a small salon, that difference matters. A busy month should not mean a bigger reminder bill.

Email also needs no new system. ShowUp works alongside the diary or booking system you already use, and the reminders go by email to the address the client already gave you when they booked. There is nothing to migrate, nothing to relearn, and no new channel to manage. ShowUp is email only, by design. It does not send text messages, it does not make calls, and it does not pretend to be a text tool. The trade-off is stated plainly, so you can decide if it fits your salon. For many small salons, a free, simple email reminder that sends itself is enough, and the money saved on per-message charges stays in the business.

Use the examples above as they are, or adapt them to your own tone. The best reminder email for your salon is the one that sounds like you, carries the six basics, and goes out on time, every time. ShowUp sends these reminders by email, and on Pro they send themselves, so the timing does not depend on someone at the front desk remembering to send them.
